Terms & Conditions

Booking Terms

1. Studio Hire Terms
The Studio Owner agrees to rent the studio space to the Hirer for the agreed-upon dates and times and for the
purposes agreed. The Hirer agrees to pay the Studio Owner the agreed rental fee for the full duration of the
hire period. This Agreement is solely for the use of the facilities for the specified time/s and does not establish
a landlord-tenant relationship between the Studio Owner and the Hirer.
This agreement is solely for the hirer named above and is not transferable, unless agreed in advance in
writing.

2. Studio Hire Period
When booking the studio, please ensure you allow enough time for set-up and pack-down, as your hire time
covers the full duration of your time in the studio.

3. Studio Use
The Hirer agrees to use the studio for the agreed purpose and shall not use the space for any unlawful or
unauthorized purposes. The Hirer will adhere to all applicable laws and regulations and ensure that the studio
is used responsibly.
The space is hired as is. We cannot give any guarantee that the space and facilities are fit or suitable for your
purposes.

4. Payment Terms
The Hirer shall pay the full rental fee to confirm the hire. Payments are accepted via BACS into the studio bank
account. The Hirer acknowledges that payment is required to confirm the hire.

5. Cancellation Policy
This is our cancellation policy:
• Confirmed bookings with cancellation received more than 8 weeks in advance of the date of hire - full refund
minus £25 admin fee
• Confirmed bookings with cancellation received between 4 - 8 weeks in advance of the date of hire - 50% of
total hire
• Confirmed bookings with cancellation received between 2 - 4 weeks in advance of the date of hire - 75% of
total hire
• Confirmed bookings with cancellation received within 2 weeks of the date of hire - 100% of total charge
We reserve the right to cancel a booking [or any part of it] without notice. In these unlikely circumstances, you
will be entitled to a refund of the hire cost only.

6. Social Media Clause
The Hirer is permitted to take photographs, videos, and other forms of media ("Content") during the hire period
for posting on social media platforms (e.g., Instagram, TikTok, YouTube). The Hirer agrees to the following
terms regarding social media use:

6.1 Permission to Post
The Hirer may post Content from the studio on social media platforms for personal or business purposes,
including but not limited to Instagram, Facebook, TikTok, and YouTube.

6.2 Tagging and Credit
The Hirer agrees to tag The Studio Space's official social media accounts - @thestudiospace_ldn and use the
hashtag #thestudiospace_ldn in all social media posts made from the studio space to provide proper credit to
the studio.

6.3 Commercial Use
If the Content created during the hire is intended for commercial purposes, such as advertising, brand
promotion, or marketing, the Hirer must seek prior written consent from The Studio Space. The Hirer may be
required to pay an additional commercial usage fee, which will be outlined in a separate agreement.

6.4 Content Restrictions
The Hirer agrees not to post any Content that is illegal, obscene, defamatory, discriminatory, or harmful to the
reputation of the Studio Space. The Studio Space reserves the right to request the removal of any Content that
violates these guidelines.

6.5 Studio's Right to Use Content
The Hirer grants The Studio Space a non-exclusive, royalty-free right to use any Content created during the
hire period for promotional purposes, including marketing materials, social media posts, or website content.
The Studio Space will provide appropriate credit to the Hirer where applicable.

7. Liability
The Hirer is responsible for any damage or loss to the studio premises, building or equipment during the hire
period, by you or any person connected with you directly or indirectly. The Hirer agrees to:
Report any damage, loss, or accident to the Studio Owner immediately upon discovery.
Pay for the cost of repairs or replacement of any studio equipment, fixtures, or property that is damaged, lost,
or destroyed during the hire period, either intentionally or through negligence.
As the person responsible for the hire of the studio, you agree to supervise all users of the studio, the facilities
and the building, directly or indirectly connected to you.

8. Insurance:
The Hirer confirms that they have their own public liability, public indemnity and equipment insurance that
covers them for all activity taking place at the studio for the duration of the hire.
For the avoidance of doubt, the hirer is solely responsible for any liability, injury, personal claims, litigation or
any other matter resulting from the hire of the premises on behalf of himself/herself and fellow users/guests
and indemnifies The Studio Space from any such costs.

9. Damage Responsibility
The Hirer agrees to indemnify and hold harmless the Studio Owner for any damage, loss, or destruction
caused to the studio, its facilities, or its equipment during the hire period. The Hirer further agrees to:
Compensate the Studio Owner for the full cost of repairing or replacing any damaged, lost, or stolen property
belonging to the Studio, including but not limited to furniture, equipment, and studio fixtures.
Cover any additional costs incurred by the Studio Owner as a result of the damage, including but not limited to
labor costs, replacement costs, and any downtime due to repairs.
The Studio Owner will assess the damage and provide an invoice for the repairs or replacements. The Hirer
agrees to settle this amount within 14 days of receiving the invoice.

10. Studio Equipment
Any equipment provided by the Studio Owner for use during the hire must be treated with care. The Hirer
agrees to return all equipment in the same condition in which it was provided. The Hirer will be liable for the
cost of repairs or replacement if the equipment is damaged or lost during the hire period.

11. Studio Rules and Regulations
The Hirer agrees to comply with all studio rules and regulations as outlined by the Studio Owner, including but
not limited to safety procedures, noise control, and the number of people allowed in the studio at any time. The
Studio Owner reserves the right to remove the Hirer and any guests from the premises for failure to comply
with these rules.
For the avoidance of doubt the hirer signs this agreement on behalf of himself/herself and all his/her
guests/fellow users. The hirer confirms that they have informed all his/her guests/fellow users of the terms of
this agreement, that they have consented to the terms and conditions of this agreement and that they are
authorized to sign this agreement on their behalf.

12. Fire Safety and Use of Chemicals
The Hirer agrees to abide by the following fire safety and chemical usage guidelines:
Naked Flames & Smoke: The Hirer agrees not to use any naked flames (e.g., candles, fire-eaters, or open
flames) or introduce any smoke-producing devices (e.g., smoke machines, foggers) into the studio.
Hairspray and Aerosols: The use of hairspray, aerosol cans, or any other chemical sprays that could trigger the
sprinkler system is strictly prohibited.
Sprinkler System: The studio is equipped with a sensitive sprinkler system. The use of naked flames, smoke,
or hairspray could inadvertently trigger the system, causing water damage to the studio, equipment, and any
personal items within the studio. The Hirer acknowledges that they are responsible for any damage caused by
such actions.
The Hirer agrees to take full responsibility for any damage or disruption caused by the use of prohibited items,
including the triggering of the sprinkler system, and will compensate the Studio Owner for any costs incurred
due to the activation of the sprinkler or fire alarm system.

13. Force Majeure
Neither party shall be held responsible for any failure or delay in the performance of this Agreement due to
circumstances beyond their reasonable control, including but not limited to acts of God, strikes, natural
disasters, or government restrictions.

14. Indemnity
The Hirer agrees to indemnify and hold harmless the Studio Owner from any claims, damages, or legal actions
arising out of the Hirer's use of the studio, including but not limited to the use of the studio for social media or
commercial purposes.

15. Children at The Studio Space
When any of the users/guests are under 18 years old, the hirer confirms that they have informed the relevant
parent/guardian that they have consented to the terms and conditions of this agreement and that they are
authorized to sign this agreement on their behalf.
All children under the age of 18 must be under the direct supervision of an adult at all times while on the
premises. The hirer is responsible for ensuring that children are properly supervised and that their safety is
maintained during the hire period.
The hirer assumes full responsibility for the safety and well-being of children during the hire period. The hirer
acknowledges that The Studio owner shall not be held responsible for any injury, accident or damage involving
children on the premises.

16. Governing Law
This agreement shall be construed and governed by English Law and is subject to the exclusive jurisdiction of
the English Courts. Nothing in this agreement shall be deemed to constitute a partnership of any kind between
The Studio Space and the hirer.

17. Studio Access & External Areas

17.1 Studio Access
The hire includes use of the internal studio spaces only — Studio 1, Studio 2, or both, as confirmed at the time
of booking. While the studios are on the ground floor with direct street access, the area immediately outside
the studio entrances — including pavements, building frontage, and any shared external walkways — is
managed by Television Centre and is not part of the hire.

17.2 External Promotion & Signage
To maintain a good relationship with Television Centre and other tenants, we kindly ask that no signage,
flyering, filming, photography, or promotional activity takes place outside the studio entrances or in shared
external areas without prior written permission from The Studio Space. If needed, we’re happy to support any
permission requests to Television Centre on your behalf.
